Processes
Step-by-step guides for how Kāsper operates — from client onboarding to daily squad workflows.
What are squads?
Kāsper works in squads — small focused teams of creatives, each led by a Squad Manager. Every squad handles a dedicated set of clients and is responsible for output quality, deadline adherence, and client satisfaction.
Each squad typically includes Graphic Designers, Video Editors, and a Hybrid creative. The Squad Manager is the bridge between the client and the creative team.
Day-to-day responsibilities
Create tasks in ClickUp
All tasks go on the team board (not client board) so they appear in workload view. Naming: [Client Name] [Format] — e.g. "Lumera Static 1:1".
Brief creatives
Write a clear brief inside the task. Include format specs, reference links, copy, and any specific client directions.
Review deliverables
Review before sending to the client. Check brand alignment, copy accuracy, and technical specs.
Deliver to client
Send via the agreed delivery method. Log completion and move the task to done.
Onboarding a new client
View full whiteboardCreate Google Drive folders
Client and internal folders. Names must match ClickUp convention. Subfolders: Assets, Deliverables, References.
Set up ClickUp
Create client board and team board. Assign Squad Manager and relevant creatives.
Collect brand assets
Request logo, brand guide, color palette, fonts, and existing creative references from the client.
Create client page in the Hub
Fill in the client's page here with context, links, assets, and scope of work so the whole team is aligned from day one.
Brief the squad
Walk the team through the client — who they are, their audience, tone, and creative direction.
How tasks work
Task naming: [Client Name] [Format] — e.g. "Tipsy Elves Video 9:16".
Where to create: Always on the team board so tasks appear in workload view.
Automation: When a task reaches "Briefed" status, it's tagged "via-automation" to prevent loop duplication between boards.
Points: Daily max 32 pts · Weekly max 160 pts · Coldture minimum 6 pts per task.
